Governing Constitution of the Harvard Equestrian Team

Harvard Equestrian Team

Purpose of Club:
1) To provide access to horseback riding at all levels for the Harvard Community (undergraduate, graduate, extension school, faculty, staff, spouses/domestic partners, alumni etc). All of these non-undergraduate affiliates are warmly welcomed, provided that they do not exceed the number of undergraduates in the organization (as per Club Sports policy).
2) To sponsor and support the IHSA showing team in Harvard's name, and in accordance with the IHSA policy to make showing an accessible and learning experience for college undergraduates.

Membership:

Any  affiliate (see above Harvard Community) may become a member provided that s/he can:
1) Prove affiliation
2) Make a commitment to a specific lesson time each week for a semester (both financial and  time commitment)
3) Demonstrate good financial standing with the Harvard Equestrian Team (from past semesters)

To retain membership, a member must:
1) Continue in good financial standing
2) Maintain an active level of participation--an active level is considered to be regular attendance  at lessons and meetings.

Members may be expelled:
1) By unanimous vote of all officers and the coach
2) At the discretion of the coach for safety reasons.

Officers:

There are three officers who provide the leadership of the Equestrian Team: the President, the Vice President, and the Fund Raising Coordinator. All three may use the title Captain for day to day events. Duties are as follows.

President:  Acts as liaison between Harvard (through the club sports office and faculty advisor) and the team, as well as between the IHSA and the team. Keeps all archives and paperwork. Responsible for submitting entry forms, updating membership rosters. The president is ultimately responsible for the financial records of the team (as per club sports policy), and therefore keeps the financial records as well, making all entries him or herself. The President is the overall co-ordinator for the team, and is responsible for looking after all interests.

Vice President: Assists President in all duties and is expressly responsible for communications with the barn management. Reports of attendance at lessons should be reported to the barn coordinator, who keeps a list of who was at every lesson every week, when each lesson went, etc. This information is turned over to the President, who translates it into financial statements and bills.

Fund Raising Coordinator: Responsible for channeling fund raising ideas into various teams, writing letters and generally making efforts to raise money to support the club.

Elections:
Those wishing to run for office must have been a member of the team, as either pleasure rider or show rider, for at least a year. Those wishing to run for President must have participated in at least two shows.

Elections are to be held in February. Terms of office are from September to May. We are purposely violating the normal Harvard policy of November to November terms as we do not wish to have our officers switch in the middle of a showing season. Officers will be elected by vote of all undergraduate members of the team (showing and pleasure, including outgoing seniors). S/he must secure a nomination from one of the current officers or from the coach in order to be eligible to run. Elections will be held for President, Vice President, and Fund Raising Coordinator. The person with the largest percentage of the vote for their office wins. Once the officer is elected, they will spend from February to May with the officer currently holding their position, learning how s/he does his or her job. It is strongly recommended that one person does not try to hold more than one of these positions concurrently.

Lessons:

  • lessons will be in groups of 4-6 people.
  • lessons will be purchased in semester blocks consisting of 10 lessons a semester
  • we are charged $120 per lesson by the barn. as we send a minimum of four riders to each lesson, the charge is $25 per person per lesson, or $250 per semester. In the event that more than four riders go, the charge remains the same because the difference in prices helps us pay for transportation costs and other fees the team as a whole may encounter.
